Top Priorities (Must Do)
- Prepare report for tomorrow
Deadline-driven and likely higher consequence if late; also may require uninterrupted focus. - Finish presentation slides
High-impact deliverable; often benefits from deep focus and may be needed for others’ review. - Team meeting at 3 PM
Fixed-time commitment; plan the day around it and ensure you’re prepared enough to contribute.
Secondary Tasks (Should Do)
- Reply to emails
Important for responsiveness, but can be time-boxed so it doesn’t consume the day.
Low Priority / Optional
- Workout
Valuable, but flexible—do it only if it supports your energy today and doesn’t jeopardize tomorrow’s report.
Suggested Execution Order (6-hour day, slightly low energy)
Block 1 (60–75 min, best focus early): Report draft + structure
- Outline the report, fill the highest-risk/most uncertain sections first.
- Aim for a “good enough” complete draft (not perfect).
Block 2 (50–60 min): Presentation slides—core narrative
- Finish the main storyline: title, agenda, key points, and any must-have visuals.
- Leave polish/formatting for later.
Block 3 (20–25 min): Email triage (time-boxed)
- Reply only to: urgent blockers, meeting-related items, and quick <2-min responses.
- Defer anything that requires thought/work (don’t start new work via email).
Block 4 (30–40 min): Meeting prep
- Review agenda, pull any numbers/updates you’ll need, write 3 bullets: status, risks, asks.
3:00 PM – Team Meeting
- Attend meeting. Capture action items immediately.
Block 5 (45–60 min): Report finalize
- Incorporate anything from the meeting (if relevant).
- Clean up, add summary/next steps, sanity-check for completeness.
Block 6 (30–45 min): Slides polish + send/share if needed
- Tighten wording, check formatting, confirm slide order, export/share.
If time remains (20–30 min): Emails + optional workout
- Second email pass (same rules).
- If you still have energy/time, do a short workout (e.g., 20–30 min) rather than skipping entirely.
Quick Tips
- Protect deep work before 3 PM: Do report + slides in focused blocks; don’t open email until after your first deep-work block.
- Use “time-boxed good enough”: For the report/slides, prioritize completion and clarity over perfection; polish only if time remains.
- Single capture system for the meeting: Write action items immediately and decide right after the meeting what must happen today vs. later.
